Staff Email - Non-Personal Email Accounts

Requesting a New Non-Personal Email Address

Staff members may request non-personal email addresses for special purposes. For example you may require an address of the form departmentname@tcd.ie or centre@tcd.ie. Application for a non-personal email address can be made via the Non-Personal Email Account Request Form.

Accessing Non-Personal Email Accounts

Using OWA

The suggested method for checking non-personal email accounts is to use Outlook Web Access (OWA). If more than one person in a department needs to access the same non-personal email account then using Outlook Web Access (OWA) is the best option as it allows each staff member to dynamically see what emails have been sent and received. This aids the processing of emails in a co-ordinated fashion amongst a number of users checking the same email account.

Some departments may have a primary person checking a non-personal email account on a day-to-day basis and in their absence, for example due to leave or sickness, a nominated backup person can easily access the non-personal email address via OWA, once they know the non-personal email account username and password.

Using Outlook 2007 on PC

If you are already using Outlook 2007 to check your personal email you may add a second profile so that you can check a non-personal email account. Note that using this method it is not possible to check both email accounts at the same time. When you launch Outlook you are prompted to choose which account you wish to work with. Using Outlook 2010 on PC

If you already use Outlook 2010 to check your personal email you may add a second email account to the existing profile so that both accounts can be checked at the same time. Alternatively you can add a second profile so that both accounts are kept separate to some degree, with only one account visible in Outlook at any time.

Using Outlook 2011 on Mac

If you are already using Outlook 2011 on Mac to check your personal email you may add a second profile so that you can check the non-personal email account. Note that using this method it is not possible to check both email accounts at the same time. When you launch Outlook you are prompted to choose which account you wish to work with. Using Entourage 2008 on Mac

Where the primary person checking the non-personal account is already using Entourage 2008 to check their personal email they may add a second email account to the existing profile, so that both may be checked at the same time, or they can add a second profile, keeping the two accounts separate to an extent.
